The following changes are being introduced to ensure compliance and adherence to GDPR requirements.
- Access to course dates is only available for 198 days from the course end date.
- Faculty marked as not in attendance on a course’s Final Faculty List will be automatically removed from the course. Only the Course Centre Administrator can confirm or amend faculty attendance. Please contact them directly if corrections are needed.
- If a Course Centre Administrator marks an ILS, PILS, or ILSi course as cancelled, it will be automatically removed within 72 hours.
- If ILS and PILS course dates are more than 60 days old and the candidate’s result sheet has not been submitted, the course date will be automatically removed. Additionally, course dates cannot be added if they are older than one month.
- Course dates with all post-course tasks submitted will be kept on the system for 7 years and then deleted. As a result, users will see changes in their ‘Teaching History’ as expired records will be removed.
- Expired course certificates will be automatically deleted and cannot be reissued.
- User accounts will be deleted if they were created more than 30 days ago and are not enrolled on a course, do not have provider or instructor qualifications, or active memberships.
- Lapsed Instructor Potential (IP), Instructor Candidate (IC), and Instructor statuses will be automatically removed from accounts; please refer to the relevant course regulations for further details.
Account creation
- Registered Centre Administrators are responsible for creating a candidate’s account on the LMS.
- An account must already exist before the candidate can be enrolled on a course.
Enrolment search options
- When enrolling a user, searches can be performed by:
- Full name → returns matched records.
- Email address → returns the exact record.
- After clicking ‘Go’, the button will be greyed out until the system completes the request.
Enrolment rules
- A candidate cannot be enrolled in multiple course categories of the same type (e.g. eALS and 2-day ALS) while their initial course result is set to ‘Select’ or ‘Resit’. A final result (e.g. No Show, Fail, or Pass) must be submitted for the candidate before they can be enrolled onto a new course.
Centre Administrator & Faculty Course Access
- Course access
- Registered Centre Administrators will have immediate access to newly created course dates.
- Faculty enrolment
- The Registered Centre Administrator is responsible for:
- Enrolling Faculty onto the course in advance.
- Finalising the Final Faculty List before the course end date.
- The Registered Centre Administrator is responsible for:
- Ongoing access
- Registered Centre Administrators and Faculty will continue to have access to the enrolled course for 198 days after the course date.
Candidate course access and notifications
- Once enrolled, a candidate gains immediate access to the course and continues to have access for 120 days after the course date.
- The system sends:
- An enrolment email immediately.
- A seven-day course reminder email.
- An end-of-course email after the course end date.
- When the course certificate is released.
